All Other Casuals

Once you have offered your successful candidate please follow the General Casual Process Map.

All key documentation required is provided in the final section of this page.

It is the Recruiting Managers responsibility to complete the following prior to start date:

  • Log the casual starter on the HR&ICT Servicedesk (HR section) found on Molly/At Work. Guidance is here. This will ensure the new starter is added to iTrent and will be paid
  • Create and send out a casual letter of engagement general to the new starter and attach a copy of this to the Servicedesk case. This will then be saved in the employee’s folder.
  • If the Casual is working with vulnerable children or adults please book them onto the Safe Guarding TCC Course
  • If required request a DBS check (or AIB certificate) and once completed record the information on iTrent
  • Take up references if required and send them to HR Admin so they can be saved on the electronic file
  • Online / Digital Right to work check / proof of address (Face to face will resume from 5 April 2022 ). Documentation required can be either two forms of photo I.D passport and driving licence / or one photo I.D and a copy of the birth certificate or proof of address dated within 3 months of start date. These will be scanned through the TrustID checker to ensure their ‘right to work eligibility’ is completed on or before their first day.

When you have logged your starter on the Servicedesk, it is HR Admin’s responsibility to:

  • Issue new starter forms and ensure the completion of the forms with the casual
  • Set up a pre employment medical check (if required)
  • Set up an eLearning login for training if required. E-learning is not required for Community Transport Drivers who complete safeguarding training via Barnados (TCC) and the other mandatory training via paper versions (GDPR, Health & Safety and Equalities)
  • Complete part A of the ‘casual starter checklist’ and send this on to the manager to complete part B and C (through the first 3 months and send it back to HR Admin once all job training is completed)
  • Save all key documentation in an electronic HR file for audit purpose

It is the Recruiting Managers responsibility to complete the following after start date:

  • Complete checklist PART B mandatory training and the MVDC policy signing page
  • Complete & return H&S checklist
  • Complete and review checklist PART C job training (after 3 months)
  • Send completed checklist to HR
