Telephone answering

Dear colleague

Over the last few weeks I have received an increased number of comments regarding difficulties in getting hold of officers and, when voicemails are left, these are not returned.

I wanted to remind you that –

  • Answering the telephone is a key part of all our jobs
  • Teams must ensure that phones are covered between 8.30 and 5pm
  • If you need to use voicemail then your message must be up to date – this should include details of your normal working pattern and when someone could expect their call to be returned
  • Voicemail messages must be responded to by the end of the next working day (at the latest)
