What to do if you send an email to the wrong person

Mistakes can happen from time to time so it is really important that you know what to do if you send an email to the wrong person.

Please don’t submit a Service Desk Request to ICT to ask them to retrieve it for you.

As soon as you become aware of the error the first action is to send a containment email to the incorrect recipient.  A template for this can be found on Molly here: UK GDPR – Molly (molevalley.gov.uk) (you will need to adapt the wording depending on the circumstances).

If there was third party personal data in the email it may be a data breach so you will need to report it to Kate.Butcher@molevalley.gov.uk or Tom.Penlington@molevalley.gov.uk.  We will talk through what happened with you, and assess whether it is a breach and if it needs to be reported to the ICO and/or the individual(s) concerned.

If the email does not contain personal data but does contain confidential information please let the Manager responsible for the information know as soon as possible.  This will allow them to take steps to mitigate any damage that could be caused by the information being made public.
